Workspace Views: Customizing File Access and Navigation

Workspace Views allow users to quickly access specific files or folders within a workspace, improving navigation and workflow efficiency. They are especially useful for frequently accessed filters or folders, enabling users to organize and view files in a structured or simplified format.

The views created are available to anyone who has access to the workspace.

Creating Workspace Views

To create a new Workspace View...

  1. Navigate to Workspace Settings from the left menu.

  2. Select the "Views" tab.

  3. Click "+ Add View" to create a new view.

  4. Enter a view name, type, and root directory:

    • View Name: Name of the view you can select from the vault

    • View Type: Choose between a Hierarchical View (maintains folder structure) or a Flat View (displays all files without folders).

    • Root Directory: Select a specific folder to start the view from if you frequently work in a subfolder.

  5. You can add filters to your views (see "Adding Filters")

  6. You can set the default metadata column used to sort the files in your view as well as specify ascending or descending order.

    • Enabling "Auto Save Default Sort Column" or "Auto Save Default Sort Direction" will save any sorting changes you make directly from the Workspace View.

  7. Enabling "Auto Save Columns Width" will save any column width you adjust from within the Workspace View.

  8. Enable "Custom Columns Order" to show, hide, and reorder the metadata viewable in the columns.

  9. Enabling "Auto Save Columns Order" will save any changes you make to column order directly from the Workspace View.

  10. Click "Save" to finalize the view.

šŸ’” Workspace Views are accessible to all users. They will first appear beneath "Disabled Views" for others. Click the eye icon to enable.

Adding Filters

  1. Click "+ Add Filter".

  2. Enter the desired filter criteria.

  3. Click "Save" to update the view.

Refine your view to display specific sets of files. For example...

  • Files checked out by a specific user

  • Files without a part number

  • Files with a certain material type

Reordering

  1. Navigate to Workspace Settings and select the "Views" tab.

  2. Hide any unwanted views using the eye icon.

  3. Drag and drop views into the preferred order using the move icon.

  4. Click "Save Views" to apply the changes.

Default and custom views can be disabled or reordered on a per-user basis, allowing users to customize their views without affecting others.

Deleting

  1. Navigate to Workspace Settings and select the "Views" tab.

  2. Click the edit (pen) icon next to the view you want to delete.

  3. Click "Delete" and confirm the action.

Delete views you no longer want accessible within the Workspace.
