Locking Files and Marking Files as Obsolete

Locking Files

Locking a file prevents other users from making changes, while still allowing them to view the file and its information. Once a file is locked, only the user who locked it or an Admin can unlock it.

Steps to Lock a File

  1. Navigate to the file within the project

  2. Right-click on the file(s)

  3. Select Lock File

💡 Users can lock files via the desktop app and the web browser.


Unlocking Files

Users can unlock a file by following the same steps as above, but instead selecting Unlock Files

Note that only users that locked the file or admins of the account are able to unlock files


Marking a File Obsolete

Obsolete statuses help you manage files that are no longer in use.

You can mark a file as obsolete by right-clicking and selecting "Make Obsolete." Obsolete files cannot be edited but can be reactivated at any time by choosing "Make Active." Each time a file’s status changes, a version block is created to maintain a clear history. This update ensures your team always has visibility into which files are in use and which are no longer relevant.
