Account Level Settings

These settings are accessed by the user icon in the top right corner of Bild and can only be accessed by admins. Changes to these settings will affect all users.

Updated today

General

The General section controls organization-wide configurations.

Company Name

  • Displays your company name.

  • This field can be edited if needed.


Hide Inaccessible Workspaces

When enabled:

  • Users will only see workspaces they have access to on their dashboard.

  • Workspaces they do not have permission to access will not be visible.

This setting is helpful for:

  • Reducing dashboard clutter

  • Improving focus

  • Preventing confusion about restricted workspaces

If you prefer “out of sight, out of mind” visibility for users, enable this option.


Workspace Creation

This setting controls who can create new workspaces within your organization.

Available options:

  • Admins & Members

  • Admins

  • Custom

If set to Custom, workspace creation permissions can be enabled for specific users within the User Management section.

This allows tight control over workspace sprawl while still giving flexibility where needed.


User Management

The User Management section is where Admins manage:

  • Existing users

  • Adding new users

  • Creating custom roles

  • Creating user groups

Users Tab

Under the Users tab, you will see:

  • All current users

  • Their assigned access level

Managing an Existing User

Click into any user to:

  • View their global permission level

  • View their workspace-specific permissions

  • Make necessary changes to their access


Deleting a User

To delete a user:

  1. Click into the user account.

  2. Select Delete.

  3. Enter the displayed security code.

  4. Confirm deletion.

Important:

  • Deleted users are removed from all workspaces.

  • They are removed from feedback threads and approvals.

  • Any files they have checked out will have their checkout canceled.

  • This action cannot be undone.


Adding a User

To add a new user:

  1. Select Add User.

  2. Enter the user’s email address.

  3. Press Enter.

  4. You may enter multiple email addresses at once if they will share the same permission level.

  5. Assign the appropriate role.

  6. Confirm.


Roles Tab

Under the Roles tab, you will see three default roles:

  • Viewer

  • Editor

  • Collaborator

These default roles cannot be edited.

If you need a role with customized permissions, you must create a new role.


Creating a Custom Role

  1. Select Add Role.

  2. Enter a role name.

  3. Select the permissions to assign.

  4. Click Create.

Custom roles allow you to tailor access based on your organization’s workflow needs.


Groups Tab

The Groups tab allows you to group users together.

Groups can be used to:

  • Add multiple users to an ECO at once

  • Add multiple users to a workspace

  • Simplify permission assignments


Creating a Group

  1. Select Add Group.

  2. Enter a group name.

  3. Search for users in the Members field.

  4. Select Add User for each member.

  5. Click Create once all members are added.

Groups are especially useful for engineering teams, leadership groups, or cross-functional review teams.

Account Level Settings (Admin Only – Continued)

These settings are accessible to Admins only.
Changes made here impact all users across the organization.


Table Columns

The Table Columns section allows Admins to control which columns display in:

  • The Workspace Files view

  • The ECO view

You will see two sections:

  • Shown in Table

  • Hidden in Table

Managing Columns

  • Click the eye icon to enable or disable a column.

  • Use the dot (drag) icon to reorder columns.

  • Available columns are driven by your Metadata Fields configuration.

This allows your organization to standardize what information is visible across workspaces.


File Settings

The File Settings section controls file governance and release behavior.


1. Drawing File Association

When enabled:

  • Assembly and drawing files will automatically associate with each other.


2. Lock on Approval

When enabled:

  • Files are automatically locked once approved.


3. Lock on Release

When enabled:

  • Files are automatically locked once released.


4. Require ECO to Release

When enabled:

  • A file can only be released if it is associated with an ECO.


5. Require Approved Status to Release

When enabled:

  • A file must be in Approved status before it can be released.


6. Write Bild File ID

When enabled:

  • The Bild File ID is written into the file metadata for SolidWorks files.

This helps maintain traceability between CAD files and Bild records.


7. Use Part Number as Item Name by Default

When enabled:

  • The “Use Part Number as Item Name” toggle will automatically be turned on when creating new items.


8. File Sharing for Public

Default values (Native and Universal) will automatically be applied when creating public links, unless manually changed.


9. File Sharing for Suppliers

Default values (Native and Universal) will automatically be applied when creating supplier links, unless manually changed.


10. Displayed Configuration

Allows you to update the displayed configuration for files.


Integrations

Bild offers out-of-the-box integrations with:

  • Oracle NetSuite

  • Arena

  • Propel

  • Contact your account team for implementation guidance.


Suppliers

The Suppliers section allows you to manage supplier groups and file sharing.


Adding a New Supplier

  1. Select Add New.

  2. Enter a supplier name.

  3. Add supplier email addresses.

  4. Select Invite after each email.

  5. Once all users are invited, select Create.


Managing an Existing Supplier

When you click into a supplier, you can view:

  • Members of the supplier group

  • Files shared with the supplier

  • Files shared back from the supplier

This view displays all shared files across all workspaces.

Removing a Supplier Member

  • Click the trash can icon next to the user’s email.

Deleting a Supplier

  • Select Delete Supplier at the bottom of the screen.


Templates

Bild supports two types of templates:


Project Templates

Project Templates define predefined folder structures when creating a workspace.

Creating a Project Template

  1. Select + Add Template

  2. Enter a template name

  3. Select Add

  4. Click into the template

  5. Create predefined folders to structure future workspaces


BOM Templates

BOM Templates define predefined column structures for Bills of Materials.

Creating a BOM Template

  1. Select + Add Template

  2. Name the template

  3. Customize column order

  4. Set sorting preferences

  5. Freeze columns as needed

You will see:

  • Columns shown in table

  • Columns hidden from table

  • Click the eye icon to enable/disable.

  • Use the dot icon to reorder.

Columns are driven by your metadata field configuration.

Approvals


Auto Reject Approval on Individual Reject

When enabled:

  • If any individual rejects an approval, the entire approval is automatically rejected.


Approval Stages

Allows Admins to define multi-stage approval workflows.

Creating Approval Stages

  1. Enter a stage name.

  2. Select Add Stage.

  3. Add users to the stage using Groups from User Management.

Using groups allows quick assignment of multiple users to approval stages.

This is especially useful for complex, multi-stage approval processes.


Data Export

Admins have three export options:


1. Download Audit Logs

  • Select a date range.

  • Download audit logs.

  • Logs contain administrative action history.


2. Released Files

  • Select a “From” date.

  • Download an Excel file of all released files from that date to present.

  • Includes released files across all workspaces.


3. Export Files

You can export lists of current files by:

  • Selecting specific workspaces

  • Selecting multiple workspaces

  • Selecting all workspaces

You can also export from an individual workspace:

  1. Navigate to the workspace.

  2. Select the gear/settings icon.

  3. Click Export.

  4. Download the Excel file.


Universal Files


Custom Universal File Name Format

Allows you to define naming conventions for:

  • ECO exports

  • BOM exports

  • Universal file downloads

To configure:

  1. In the format field, enter {

  2. Select a value from the populated list

  3. Add additional values separated by dashes if desired


STEP AP Version Selector

Available versions:

  • 203

  • 214

  • 242


Auto Generate Universal Files

Universal files can be automatically generated when:

  • Release File — Generates files when a revision is released

  • Share to Supplier — Generates files when shared externally

  • Has Public Link — Generates files when a public link is created

Important:
To view generated Universal Files:

  • Open the file info card

  • Scroll to the Universal Files section

  • Download the automatically generated files


Part Number Schema

Admins can create and manage Part Number Schemas within Bild.

If you plan to implement this feature:

  • Have a part numbering template prepared.

  • Work with your account team for configuration and rollout.
