Managing Suppliers
Adding a Supplier
Click on your profile icon to open up the Global Settings
Navigate to the “Suppliers” tab on the left under the “Company” section
Click on the “Add New” button
Enter a name for the supplier
Enter the email for a member within the supplier, then click the “Invite” button
To add multiple members, type in one email at a time and invite them one by one
To remove a member from the supplier list, click on the delete icon next to the member
Click on the “Create” button to create and send the invites
Adding a Member to a Supplier
Click on your profile icon to open up the Global Settings
Navigate to the “Suppliers” tab on the left under the “Company” section
Click on the supplier you want to add the member to
Enter the email address in the “Enter Email” field and click the “Invite” button
Removing a Member from a Supplier
Click on your profile icon to open up the Global Settings
Navigate to the “Suppliers” tab on the left under the “Company” section
Click on the supplier you want to remove the member from
Click on the delete icon for the member you wish to remove
A confirmation popup will appear, type in the supplier email to confirm the deletion
Changing the name of a Supplier
Click on your profile icon to open up the Global Settings
Navigate to the “Suppliers” tab on the left under the “Company” section
Click on the supplier you want to rename the member from
Type in the new name under the Supplier Name field
Click on the “Update” button to confirm
Sharing Files/Folders with Suppliers
Through the Right-Click File Menu (For Files and Folders)

Select the files and folders you would like to share
Right-click on a selected file/folder, navigate to “Supplier Actions” and select the “Share with Supplier(s)” button
A popup will appear with your supplier list - click on the dropdown for the suppliers you would like to share the selected files/folders with and chose if they are either the primary or alternate supplier.
Click on the “Share” button to share
Note - there is no functional difference between selecting Primary or Alternate for a supplier

Right-click on a single file and select the “Show File Info” option
The File Information Drawer will open from the right side, navigate to the Suppliers tab at the top of the drawer
Here you can see which suppliers have access to this specific file, to add a supplier to the file click on the “+ Add Supplier” button
Select a supplier from the dropdown and click on the “Add” button
A confirmation popup will appear, click on “Add” to confirm
See What Suppliers Can Access a Specific File or Folder

Right-click on a single file or folder
Navigate to “Supplier Actions” and select the “See Suppliers” button
Note make sure other files or folders are not selected, or you will not see this option
The popup will show the suppliers that currently can see the file/folder
Note that if the file/folder is shared with a supplier because a higher-level directory is shared with that supplier, you will see a note that says “Inherited from “x” folder” where x will be the higher-level directory that is being shared with the supplier

Removing Suppliers’ Access from Files/Folders

Select the files and folders you would like to remove access
Right-click on a selected file/folder, navigate to “Supplier Actions” and select the “Remove Suppliers” button
A popup will appear with your supplier list
Note that this is not all the suppliers that currently have access, rather an exhaustive list of the suppliers
Select the checkbox on each of the suppliers you want to remove from the selected files and click on the “Remove Suppliers” button

The File Information Drawer will open from the right side, navigate to the Suppliers tab at the top of the drawer
Here you can see which suppliers have access to this specific file, to remove a supplier hover over the supplier name to display the three icons
Select the middle delete icon, and a confirmation popup will appear
Type in the supplier name in the popup then click the “Delete” button
See All Files a Supplier has Access To
Click on the “Suppliers” button on the left project menu
Select a supplier and then navigate to the “Shared Files” tab
You can remove access to a specific file by clicking on the delete icon under the Actions column
See Files Shared from Suppliers
Click on the “Supplier Files” tab right above your files table
You will see the same directories (folders) as in your “Project Files” tab
Navigate within folders to see files shared within that project
Clicking on the “All Suppliers” dropdown at the top right of the files table when in the Supplier Files tab will allow you to filter the files shown to that specific supplier
You can also see all files shared from a specific supplier:
1. Click on the “Suppliers” button on the left project menu
2. Select a supplier and then navigate to the “Supplier Files” tab
3. You can see the path of each of the files and delete the file by clicking on the delete icon
Sharing Metadata Fields with Suppliers
When sharing files, you can choose to share specific metadata fields with them and manage supplier-specific metadata
Files shared with suppliers: will inherit the shared metadata settings from the global metadata settings **at the time of sharing the file.** Any edits to the global metadata settings will NOT automatically update metadata fields accessible to suppliers for files shared with them.
For files that are received from suppliers: only actively shared metadata fields from the global metadata settings are accessible and can be managed. Any edits to the global metadata settings will automatically update metadata fields accessible for files received from suppliers.
Managing Shared Metadata Through Global Settings (Admins only)
Click on your profile icon to open up the Global Settings
Click on “Custom Metadata” under the Company section
Hover over the metadata field and click on the “Edit” text that appears next to the field
You can share this field with a supplier by adding the supplier to it and selecting if they can see either the Field name only or the Field and Value
Show Field: When a file is shared with a supplier, the supplier can see only the field name. The supplier can then provide a value for that field. The value given by the supplier is specific to that supplier and does not overwrite the internally managed value. Each supplier can have their own value and will not be able to see each other’s values. You can change the permissions of these on a file level as well.

Managing Shared Metadata per File (Only for Files Shared with Suppliers)

Here you can see which suppliers have access to this specific file, to edit the metadata a supplier can access hover over the supplier name to display the three icons
Select the left edit icon, and a popup will appear showing the metadata fields alongside the access permission for each metadata field for the supplier for that specific file

Click on the “Update” button to save the metadata permissions
